Project overview
Pastry Pro, one of Malaysia’s major baking ingredient distributors, manages a large and diverse inventory ecosystem with hundreds of suppliers and extensive product categories. As operations expanded, manual inventory tracking and reconciliation became increasingly time-consuming and error-prone, creating challenges in stock visibility, replenishment planning, and operational efficiency.
To optimize inventory operations and reduce manual workloads, Pastry Pro partnered with FPT to deploy akaBot robotic process automation (RPA) solutions for inventory monitoring and reporting automation.
Customer
Pastry Pro is a leading baking ingredients distributor in Malaysia, supplying products to bakeries, food service businesses, and commercial customers across the market.
With a broad supplier network and high inventory turnover, the company required a more scalable and efficient approach to inventory monitoring and reporting.
Challenges
Inventory reports were collected manually from multiple supplier portals, emails, and operational systems, requiring significant effort from employees to consolidate and validate data.
The process was repetitive and highly dependent on manual operations, leading to slow reporting cycles, higher risks of data inconsistency, and difficulties in responding quickly to inventory fluctuations.
As the business continued to grow, Pastry Pro needed an automated solution to improve inventory visibility, operational speed, and reporting accuracy.
Solution
FPT deployed akaBot to automate Pastry Pro’s inventory tracking and reporting workflows.
Software bots were configured to automatically collect inventory reports from multiple sources, including supplier portals, emails, and internal systems. The bots then consolidated and standardized the data into unified inventory reports.
The solution also automated periodic reporting and distribution processes, enabling inventory analysis reports to be generated and delivered to relevant teams on schedule without manual intervention.
Results
The akaBot solution automated 90% of Pastry Pro’s inventory monitoring processes, significantly reducing manual effort and repetitive operational tasks.
Inventory data became more accurate, timely, and centralized, enabling purchasing and business teams to respond faster to inventory changes and make more informed operational decisions.
The automation initiative also improved employee experience by allowing staff to shift their focus from repetitive administrative work to higher-value and more strategic activities.
Business impact
By leveraging robotic process automation, Pastry Pro transformed inventory monitoring from a manual and fragmented process into a streamlined digital workflow.
The project demonstrates how intelligent automation can help distribution and retail businesses improve operational visibility, enhance workforce productivity, and build more agile supply chain operations in a fast-moving business environment.
